# Student Photos and Public Fundraiser Visibility

## Understanding student photo visibility

DashPledge gives schools and organizations controls over whether student photos can appear in applicable fundraiser experiences.

A student participating in a fundraiser does **not** automatically mean their photo must be displayed publicly.

Student photo visibility depends on the campaign's privacy settings and the fundraiser experience where the photo would appear.

## Are student photos required?

No.

A student can participate in an eligible DashPledge fundraiser without requiring their photo to be publicly displayed.

If student photos are disabled for the campaign, the applicable public fundraiser experiences should respect that setting.

## Where can student photos appear?

When student photos are permitted, they may appear in applicable areas such as:

- Student mini-fundraiser pages
- Classroom leaderboard experiences
- Other participant displays supported by the campaign

The exact locations depend on the fundraiser type and campaign settings.

## Where do organizers manage student photo visibility?

Authorized organizers can review the applicable student-photo privacy setting through:

**Fundraiser Admin → Campaign Settings**

The available privacy control determines whether student photos can appear in the fundraiser experiences covered by that setting.

Organizers should consider student and family privacy before enabling public student photos.

## What happens when student photos are turned off?

When the campaign's student-photo setting is disabled, applicable fundraiser experiences should stop displaying student photos publicly.

This can affect areas such as:

- Student mini-fundraiser pages
- Classroom leaderboards

The student can continue participating in the fundraiser even when their photo isn't displayed.

## Does turning photos off remove the student?

No.

Photo visibility and fundraiser participation are separate.

Turning off public student photos should not remove the student from:

- The fundraiser roster
- Their classroom
- Activity tracking
- Fundraising progress
- Achievements
- Eligible leaderboard participation

It changes applicable **photo visibility**, not the student's underlying participation.

## Can parents upload a student photo?

When the campaign allows student photos and the parent fundraiser setup provides the option, a parent or guardian may be able to upload a photo for their child's fundraiser.

Parents should only upload an image they're comfortable using within the applicable fundraiser experience.

## What if a parent uploads a photo while photos are disabled?

The campaign's privacy setting should control whether the photo is displayed in the applicable public experiences.

Uploading an image does not necessarily override the campaign-level privacy setting.

## Can parents force a photo to appear?

No.

Parent fundraiser personalization should remain subject to the campaign's applicable privacy controls.

If student photos are disabled at the campaign level, a parent should not be able to bypass that restriction simply by uploading an image.

## Do all student mini-fundraisers have photos?

No.

A student mini-fundraiser can exist without a student photo.

The page can still include appropriate fundraiser information such as:

- Fundraiser story
- Fundraising goal
- Fundraising progress
- Campaign information
- Activity progress, when applicable
- Donation options

## Are student photos shown on classroom leaderboards?

Only when the applicable campaign setting permits them.

If student photos are disabled, the classroom leaderboard should respect that setting.

Leaderboard participation itself can continue without displaying the student's image.

## Are student photos shown on the Global Leaderboard?

Public or participant information shown through leaderboard experiences should follow the applicable campaign privacy settings.

The information available to an authorized organizer inside Fundraiser Admin can also differ from information displayed publicly.

## Does hiding a photo hide the student’s name?

Not necessarily.

Photo visibility and other participant-visibility controls are separate concepts.

The information displayed about a student depends on the fundraiser experience and applicable privacy settings.

Disabling photos should not automatically be interpreted as disabling every other form of student participation or display.

## Is an unclaimed student’s photo public?

An unclaimed student being present in the fundraiser roster does not automatically make the student's information or photo public.

Roster participation, parent claiming, fundraiser publishing, and public visibility are separate parts of the DashPledge workflow.

## Does claiming a child automatically publish their photo?

No.

Claiming connects the child to an eligible parent or guardian account.

The child's fundraiser still needs to follow the applicable setup, publishing, and privacy controls.

## Does publishing a student fundraiser automatically make the photo public?

A published fundraiser follows the campaign's current privacy settings.

If student photos aren't permitted for the applicable public experience, publishing the fundraiser should not override that restriction.

## What kind of photo should parents use?

When student photos are permitted, choose an appropriate image suitable for the school fundraising context.

Avoid images that unnecessarily reveal private information.

For example, be cautious about photos that clearly show:

- Home addresses
- Personal documents
- Private schedules
- Sensitive location information
- Account or financial information
- Other people who shouldn't be included

Keep the focus on an appropriate fundraiser image.

## Should a photo include the student’s full personal information?

No.

Avoid adding text or visual information to an image that unnecessarily reveals private student details.

A fundraiser photo does not need to contain information such as a home address, personal phone number, private email address, or detailed schedule.

## What if the wrong student photo appears?

First, confirm you're viewing the correct student mini-fundraiser.

If the wrong image is associated with the student, the authorized parent or appropriate campaign administrator should use the available controls to correct it.

Do not create another student simply to replace an incorrect photo.

## What if a photo doesn't appear after uploading?

Check whether student photos are enabled for the campaign.

If photos are allowed:

1. Confirm the image was successfully uploaded.
2. Save the fundraiser changes.
3. Refresh the fundraiser.
4. Review the public page again.

If the photo still doesn't appear, contact DashPledge Support.

## What if an old photo still appears?

Make sure the new image was successfully saved to the correct student's fundraiser.

Refresh the public page and check again.

If the old image continues to appear after the fundraiser has been updated, contact DashPledge Support rather than repeatedly uploading duplicate images.

## What if a student photo appears when photos are disabled?

If a campaign's applicable privacy setting disables student photos but a student image still appears publicly, contact DashPledge Support promptly.

Provide:

- School or organization
- Campaign
- Student fundraiser
- Page where the photo appears
- Screenshot, when appropriate

Do not unnecessarily redistribute the image when reporting the problem.

## What if a parent wants the photo removed?

When the parent has access to the applicable fundraiser controls, use the available option to remove or replace the image.

If the image cannot be removed using the available controls, contact DashPledge Support.

## Can organizers change the photo setting during an active campaign?

When the setting remains available, an authorized organizer may be able to change student-photo visibility during the campaign.

Because this can affect multiple student fundraiser and leaderboard experiences, review the effect carefully before saving the change.

After changing the setting, check the applicable public fundraiser experiences to confirm the new privacy choice is being respected.

## Does changing photo visibility affect donations?

No.

Changing whether a student photo is displayed should not change legitimate donation records or fundraising totals.

## Does changing photo visibility affect activity?

No.

Read-a-thon reading minutes, Move-a-thon activity, and other eligible participation records are separate from photo visibility.

## Does changing photo visibility affect achievements?

No.

Achievements are based on eligible campaign progress rather than whether the student's photo is publicly displayed.

## Protecting student privacy when sharing

Parents and organizers should review a fundraiser before sharing it widely.

Make sure the page displays only the information intended for supporters.

Parents should also verify that they're sharing the correct child's fundraiser link or QR code.

## What if I have a privacy concern about a student image?

If you believe a student photo is being displayed incorrectly or without the expected privacy control, contact DashPledge Support.

Identify the affected fundraiser and where the image appears.

Avoid copying or redistributing the image unnecessarily.
